These Terms and Conditions ("Terms") govern your booking of, and attendance at, Hotel Melody (the "Event"), which is operated by Hotel Melody Tents Ltd, a company registered in England and Wales ("Hotel Melody", "we", "us", "our").
By completing a booking you confirm that you have read, understood, and agree to be bound by these Terms, both on behalf of yourself and all members of your party.
Hotel Melody is a premium glamping experience situated in proximity to Glastonbury Festival. Hotel Melody Tents Ltd is entirely independent of, and has no affiliation with, Glastonbury Festival Ltd, its organisers, or any associated entities.
A Hotel Melody Booking includes only the accommodation and services explicitly stated in your booking confirmation. Glastonbury Festival tickets are not included in any Hotel Melody Booking and must be obtained separately through official Glastonbury channels.
Hotel Melody reserves the right to amend the stated services included in the Event, provided that any material changes will be communicated to Guests as soon as reasonably practicable.
4.1 All Bookings are made through Kaboodle, our authorised Booking Platform. By completing a Booking, you also agree to Kaboodle's own terms and conditions, which apply independently of these Terms. Hotel Melody Tents Ltd may in some circumstances process payments directly via Stripe; where this is the case, you will be informed at the point of payment.
4.2 Payment for your Booking is taken in stages. The amounts due at each stage and the corresponding payment dates will be clearly presented to you at the point of purchase. No payment will be taken without prior notification, and all charges will be consistent with the information provided to you at the time of Booking.
4.3 Hotel Melody Tents Ltd is authorised by you, as Lead Booker, to charge your payment card for any additional amounts lawfully owed in connection with your Booking — including, but not limited to, charges for damage to Hotel Melody property or equipment, or any outstanding balance. You will always be notified in writing before any such charge is applied.
4.4 Hotel Melody Tents Ltd is a VAT-registered business. Our VAT registration number is GB 495 1833 59.
5.1 All cancellation requests must be made in writing to support@hotelmelody.co.uk. The date we receive your written request is the date used to calculate any refund due.
5.2 Your initial deposit is fully refundable up to and including the day on which tickets for Glastonbury Festival are released for general sale (the "Ticket Release Day"). From the day after Ticket Release Day onwards, your initial deposit is non-refundable in all circumstances.
5.3 Where you cancel on or after the day after Ticket Release Day, your initial deposit is retained in accordance with clause 5.2, and the following refund tiers apply to the balance of the Booking price (that is, any sums you have paid over and above your initial deposit):
5.4 Transfer of Booking. You may transfer your Booking to another person, provided you give us reasonable notice in writing before the Event start date and the proposed Guest accepts these Terms. Where the Package Travel Regulations 2018 apply (see section 14), you have a statutory right to transfer your Booking. No administration fee is charged for a transfer, although you will remain responsible for any additional costs we reasonably incur as a result of the transfer.
5.5 Approved refunds will be processed within 14 days of confirmation, using the original payment method.
6.1 If we cancel the Event for any reason within our control, you will be entitled to a full refund of all sums paid.
6.2 Force Majeure. We shall not be in breach of these Terms, nor liable for any failure or delay in performing our obligations, where this arises from events beyond our reasonable control ("Force Majeure"). Force Majeure includes, without limitation: extreme or adverse weather; flood, fire or storm; epidemic or pandemic; the failure or withdrawal of any licence or permission required for the Event; the cancellation, postponement or material alteration of Glastonbury Festival; acts of terrorism, war or civil unrest; and any act, restriction or requirement of government or public authority.
6.3 Where the Event is cancelled, postponed or materially altered due to Force Majeure, we will, acting reasonably, offer you one of the following: (a) transfer of your Booking to a rearranged Event; (b) a credit note to the value of sums paid; or (c) a refund of sums paid, less any unavoidable costs we have already reasonably incurred on your behalf.
6.4 Save as set out in section 11, and except where the Package Travel Regulations 2018 provide otherwise, we shall not be liable for any consequential or indirect losses arising from cancellation, postponement or material change, including but not limited to travel costs, accommodation booked elsewhere, or the cost of Glastonbury Festival tickets.
7.1 The Lead Booker is responsible for ensuring that all members of their party are aware of and comply with these Terms.
7.2 Hotel Melody is a family-friendly environment. All Guests under the age of 18 must be accompanied and supervised by a responsible adult (aged 18 or over) at all times whilst on-site. By completing a Booking that includes minor Guests, the Lead Booker accepts personal responsibility for the supervision and conduct of those minors.
7.3 The Lead Booker must ensure that all contact details provided at the time of Booking remain accurate and up to date.
8.1 Check-in is available at any time up to and including the Event start date. Check-out is by 1.00pm on the Monday following the festival.
8.2 Early arrival and late departure may be available subject to availability and an additional charge. Please contact us in advance to arrange.
8.3 On arrival, the Lead Booker must check in in person. Alternatively, the Lead Booker may provide prior written consent by email to support@hotelmelody.co.uk, naming the Guest who will arrive and check in first on the party's behalf. Photo identification and the Booking confirmation may be requested at check-in. Wristbands and any access credentials will be issued at check-in and must be worn at all times while on-site. A charge may apply for lost or replacement wristbands.
By attending Hotel Melody, all Guests agree to observe the following rules. Hotel Melody reserves the right to remove any Guest from the site who breaches these rules, without refund.
No animals or pets of any kind are permitted on-site.
Smoking and vaping (including e-cigarettes) are permitted in outdoor areas only, in accordance with the Health Act 2006 and applicable UK law. Smoking and vaping are strictly prohibited inside any accommodation unit, tent, or enclosed structure. Where on-site signage designates a no-smoking area, this must be observed.
Guests are expected to be considerate of other Guests and neighbouring residents at all times. Hotel Melody operates with no formal curfew; however, we reserve the right to impose noise restrictions where necessary to comply with our site licence or local requirements.
Guests may bring their own alcoholic beverages (BYOB) for personal consumption within their accommodation.
No glass containers are permitted anywhere on-site. Alcohol brought on-site by Guests must not be taken into the bar area. We reserve the right to refuse entry to, or remove, any Guest whose alcohol consumption causes a nuisance or safety risk.
The following items are strictly prohibited on-site:
Open fires and naked flames are not permitted except in designated fire areas, where provided. Guests must follow any on-site instructions regarding fire safety at all times.
Personal cooking equipment, such as camping stoves and barbecues, and any cooking equipment provided within your accommodation, must be used with care, with due regard to fire safety at all times, and in accordance with any instructions provided.
Hotel Melody operates on a temporary outdoor site, and accessibility provisions are limited. If you or a member of your party has specific accessibility requirements, please contact us at support@hotelmelody.co.uk before booking so that we can discuss your needs. We will do our best to assist, but we are unable to guarantee that the site, accommodation or facilities will be suitable for all requirements, and some provisions may be subject to availability.
11.1 Hotel Melody Tents Ltd shall not be liable for any personal injury, illness, or death suffered by Guests on-site, except where such liability cannot be excluded or limited by applicable law (including liability arising from our negligence causing death or personal injury, or from fraudulent misrepresentation).
11.2 We shall not be liable for any loss, theft, or damage to Guests' personal property, belongings, vehicles, or equipment whilst on-site or in transit to or from the site.
11.3 Guests are strongly advised to obtain appropriate personal insurance prior to attending, covering personal injury or illness, loss or damage to personal property, and cancellation.
11.4 Nothing in these Terms operates to limit or exclude any liability that cannot lawfully be excluded under the Consumer Rights Act 2015 or any other applicable UK legislation.
Guests will be held liable for the cost of repairing or replacing any Hotel Melody property, accommodation, or equipment that is lost, stolen, or damaged as a result of their actions or those of their party. We reserve the right to charge the reasonable cost of such repair or replacement to the payment card held on file with Kaboodle (see clause 4.2).
All content published by Hotel Melody, including but not limited to photographs, brand assets, video, and written content, is the intellectual property of Hotel Melody Tents Ltd or its licensors. You may not reproduce, distribute, or use any such content without our prior written consent.
14.1 A Hotel Melody pass combines glamping accommodation with return shuttle transport to and from Glastonbury Festival, sold together at an inclusive price. This constitutes a "package" under the Package Travel and Linked Travel Arrangements Regulations 2018 ("PTR 2018"), and the statutory protections under those Regulations apply to your Booking.
14.2 Pre-contractual information. Before you make a Booking, we will provide the standard information required by PTR 2018, including the main characteristics of the travel services, the total price inclusive of taxes and any additional charges, the payment arrangements, and the applicable cancellation rights, together with the relevant statutory information form.
14.3 Transfer of Booking. You may transfer your Booking to another person who satisfies the conditions of the package, provided you give us reasonable notice before the Event start date. You and the transferee will be jointly liable for any outstanding balance and reasonable transfer costs.
14.4 Price revision. The price of your package will not be increased after Booking except to reflect changes in the cost of fuel or other power sources, the level of taxes, or relevant exchange rates, and no increase will be made within 20 days of the Event start date. If any increase exceeds 8% of the total price, you may terminate the Booking and receive a full refund.
14.5 Changes and cancellation by us. If we are constrained to significantly alter any of the main characteristics of the package, or cannot fulfil it, we will notify you without delay and you may accept the change, accept a substitute package where offered, or terminate the Booking and receive a full refund within 14 days. Where the Event is cancelled by us, you are entitled to a full refund within 14 days.
14.6 Liability. We are responsible for the proper performance of all travel services included in your package, in accordance with PTR 2018.
15.1 These Terms are governed by the laws of England and Wales, and any dispute arising out of or in connection with them shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15.2 We aim to resolve all complaints informally in the first instance. If you have a complaint, please contact us at support@hotelmelody.co.uk and we will endeavour to reach a resolution promptly.
15.3 If a dispute cannot be resolved by agreement between the parties, we encourage the use of alternative dispute resolution (ADR) before commencing court proceedings.
15.4 While we are not currently a member of a specific ADR scheme, we are willing to engage a certified ADR provider, such as the Centre for Effective Dispute Resolution (CEDR), where a dispute cannot otherwise be resolved.
We reserve the right to amend these Terms at any time. The version of these Terms in force at the time your Booking is confirmed shall apply to that Booking. Any material changes will be communicated to you as soon as reasonably practicable.
